About the Role

As the Office Manager / Customer Success Manager, you’ll be the operational backbone of our coaching programs. You’ll ensure smooth scheduling, client engagement, and workflow automation, helping us deliver an outstanding coaching experience. This role is 100% remote.


What You’ll Do

Office Management & Workflow Optimization
• Coordinate and manage coach schedules, ensuring sessions run smoothly.
• Automate workflows to improve efficiency and streamline operations.
• Handle student requests, ensuring timely responses and resolutions.

Customer Experience & Client Success
• Manage the end-to-end client journey from onboarding to program completion.
• Oversee contracts, feedback collection, testimonials, and exit processes to enhance client satisfaction.
• Conduct regular follow-ups with clients to maintain engagement and ensure they achieve their career goals.

Program & Event Coordination
• Manage the program calendar, scheduling weekly Office Hours & Special Sessions.
• Attend and support live coaching events, tracking attendance and assisting the coach.
• Help coordinate webinars and other community-building initiatives.

Course & Resource Management
• Maintain and update course materials, including playbooks, guides, and templates.
• Assist in editing and posting course videos and learning resources.

CRM & Data Management
• Maintain and update the CRM system to ensure accurate client records.
• Input coach session notes into the CRM for seamless tracking and follow-up.
• Analyze client data to identify engagement trends and areas for improvement.

Tech-Savvy – You’re comfortable with CRM tools, scheduling software, and dashboards.
